Coaching Engagements

Every client gets their own app, and your program runs itself between the sessions.

Most coaching is still delivered through a mixture of email attachments, a calendar link and a spreadsheet that says how many sessions are left. Coaching Engagements replaces that with a private app for each client, with your branding on it, and then adds the things a spreadsheet could never do: worksheets and videos that arrive on the right day, habits the client ticks off daily, goals and measures they can watch move, a private chat with you, a journal, and a record of everything that was agreed and delivered. You spend your time on the coaching and the app does the rest.

Why now

Premium clients judge your coaching by how it is delivered.

An executive who pays premium fees for coaching expects two things from it: a professional experience and a return on the money. Most coaching still arrives as PDF attachments, a calendar link and an email asking how many sessions are left, and none of that shows either. Coaching Engagements gives each client a private app with your branding, the work between sessions on a schedule, and goals and measures that show what has actually changed over the engagement. So the delivery matches the fee, and the client can see for themselves that the coaching is paying off.

An app with your name on it

Every client gets a private app with your logo and your colors, and in it they find their sessions, their progress, their materials and their conversation with you. It is the kind of thing clients tend to mention when they recommend you.

A record of what was agreed and delivered

The signed agreements, the session counts and the full history of each engagement are kept in one place. So if a client (or the company paying for them) ever asks what was delivered, you can show them rather than having to reconstruct it from your inbox.

Numbers for the people who pay

A corporate sponsor sees participation, utilization and spend for what they bought. A mentee sees exactly how many hours they have logged towards their credential. In our experience the coaches who get the larger contracts are usually the ones who can show this without being asked.

The idea

Design the program once, then sell it and deliver it as often as you like.

Idea one

The coaching engagement, i.e. your program as a product

Everything that makes up your program, i.e. the structure, the price, the agreement, the worksheets and videos, and the timing of the work between sessions, is set up once as a product.

From then on it is sold from a link and delivered the same way to the first client and to the fiftieth. And your method is no longer something that lives in your head and your inbox, it is a documented product with a price on it, which also matters if you ever want to license it or sell the practice.

Idea two

The coaching journey, i.e. one client’s complete record

When somebody buys, a journey is opened for them: their agreement, their sessions, their progress, the conversation with you and all the documents, in one continuous record. The client sees it in their own app and you see the same information from your side.

A client who comes back next year simply continues the same journey, so after a few years you have the whole history of your work together in one place, which is also what you need if a question ever comes up about what was delivered.

How it comes together

The anatomy of a signature program.

Here is an example of a 12-week executive program, put together from the pieces the platform gives you: sessions, video lessons, worksheets, question sets, habits, check-ins and follow-ups. Each piece is tagged so you can see which feature it uses.

You set the timing of each piece in plain words, e.g. “three days before the values session”, and the platform sends it on that day with an email written in your words. If a session gets moved, everything that has not been sent yet moves with it.

Your client sees the same plan in their app, i.e. where they are, what comes next and what each meeting is for. Generally people take a program more seriously when they can see the whole plan from the start.

“Leading with Presence” · 12 weeks · 1:1 Example
A welcome from you Day one
Three minutes, watched in the app, so the first thing the client sees is you and not a login email.
Video lesson
“Where are you now?” Day one
Your intake questions, answered before the first session, so you already know the answers when you walk in.
Question set
Session one: the kickoff Week 1
A named session. Everything below is timed relative to sessions like this one, so if the meeting moves, the work around it moves too.
Presence self-audit 3 days before the kickoff
Your PDF, on their phone. When they finish it you can see it, before the session rather than during it.
Worksheet
Ten minutes of stillness, daily From week 1
One tap a day in the app, with a streak counter.
Habit
“The three signals” lesson Week 2
They watch the video and then answer the questions. You decide whether the answers are marked and whether they have to pass before the next step opens.
Video + marked questions
Session two: the values session Week 4
Booked by the client from the times you allow, with the video link added automatically.
The conversation you’ve been avoiding Right after the values session
A task released as soon as the session ends, while the decision is still fresh.
Task
Confidence score, logged weekly Weeks 1–12
One number a week, entered with one button. By week twelve there is a chart of the change over the whole program.
Measure
“What happened when you tried it?” Mid-program
A message in your words, sent on schedule, for the quiet weeks between sessions when people usually lose momentum.
Check-in
Session three: the close Week 12
The closing session.
“Who are you leading differently?” 30, 60 and 90 days after the coaching ends
Three follow-ups after the program has ended. In our experience this is the part clients remember when somebody asks them for a recommendation.
Written reflection

Every line above is one reusable piece. You can put your own program together in an afternoon, or have our team build it with you.

The client’s side

What the client gets: a private app with your name on it.

The app installs to the client’s home screen with your logo as the icon. There is no app store and no password, a link in their email signs them in. Inside they find their sessions (joined with one tap), their progress, their materials, their conversation with you, and a plain account of what they have bought, what they have used and what is left.

The client also has a private journal which you cannot read. Entries they have not shared do not appear on any of your screens, and this is not a setting you could change, the software simply does not have a view for it. Clients generally notice this, and it tells them something about how you work.

What this does for your reputation

How this changes the way you are perceived.

How clients experience you

  • A branded app instead of a folder of attachments. The first thing a new client receives looks like an established practice, and not like somebody working out of a Dropbox folder.
  • A program they can see from start to finish. The client can see the whole journey ahead of them from day one, which generally makes them trust the process more.
  • Nothing depends on you remembering. The worksheet, the check-in and the follow-up go out on the right day for every client, whether you have 3 clients or 30.
  • Clear boundaries. Nothing opens before the agreement is signed, and the client’s journal stays private. Clients notice both.

How buyers judge you

  • You can show what was delivered. Every engagement leaves a record of what was agreed, delivered and signed, which makes the renewal conversation a lot easier.
  • Companies get the numbers they ask for. The sponsor report gives the person who approved the budget something to show their own boss.
  • Your method becomes an asset. A program that is documented as a product can be priced, licensed to other coaches, and one day sold along with the practice.
  • You can take on more clients without the quality dropping. The fifteenth client gets the same program as the first, and that is usually what allows you to raise your fee rather than just your client count.
Test it first

You can rehearse the whole program on yourself before a client sees it.

One button lays your program out day by day, i.e. every session, every release and every email, exactly as the client will receive it. Another button runs a full rehearsal with you as the client, on a clock you can wind forward, so you can go through a nine-month program in an afternoon, with every email arriving in your own inbox, nothing billed, and the whole test deleted when you are done.

Keep in mind that most problems in a program are small ones (a typo in an email, a worksheet that arrives a day late), and this is how you find them before your client does.

Frequently asked questions

Questions we usually get first.

Allow about half a day. A wizard takes you through it one question per screen, with a note under each one saying what it means, and at the bottom a sentence in plain English tells you what you have built so far. Then you can run the whole program on yourself before a client sees it. And if you would rather not touch it at all, our team builds it with you (that is what Program Design & Build is for).
